Getting Started

EVV is required for all home health services including home health visits, private duty nursing, and personal care services. According to AHCA, providers must: Verify delivery of services using an EVV system at the beginning and end of each home health service visit.

While Electronic Visit Verification (EVV) has been around for more than twenty years, with the passing of the 21st Century CURES Act, EVV is now a requirement for Medicaid homecare providers. The CURES Act requires homecare visits to be electronically verified for the type, date, and location of the service being performed; the individual receiving the service; the caregiver or aide performing the service, and the time the service begins and ends.

Use Axxess to perform the EVV

Caring Professional Services will use Axxess to perform the EVV, the data will then be collected and transmitted to both HHAeXchange and Tellus. So please use only AXXESS to do the EVV for Caring Professional Services.

AXXESS CORE

If you have a patient in AXXESS CORE you will have to download a different Axxess Application. Not everyone needs to have both apps, only the workers that serve clients in an MMA plan that also have a nurse also visiting that patient. Only download this app if you don’t see your patients in AXXESS Homecare.

You can Start using the EVV now until November 30th to practice. On December 1, it is mandatory that all visits be reported to AHCA and we will only bill for and pay for the visits that have completed EVV successfully. For the time being we will also be collecting the existing timecards/weeklys until we phase the note out and you will be asked to complete the notes in the AXXESS App. Begin using the APPs to Start and End your visits on December 1, 2019. AHCA has announced that they will be forgiving of any problems we incur in the beginning of EVV, but that everyone has to begin on December 1, 2019. On Saturday, November 23, we will open the office from 8:00am to 4:00pm for anyone that needs help installing the application on their phone. We will also be answering questions on Saturday. For anyone that cannot make it on Saturday you will be able to come into the Agency office from 7:00am to 5:30pm Monday through Wednesday next week. We are going to be adding one hour in the morning and one hour in the afternoon to accommodate those that cannot make it on Saturday November 23. If you have downloaded the AXXESS apps and you were able to login then you can begin to do the EVV Visits.

What is next after I install the app?

Login to the AXXESS App

Step 1

Use your email address you provided the Agency when you first applied. If you don’t know your password you will need to go to forgot password to reset it. Everyone in the Agency has an Axxess Account.

Step 2

If you have already signed into before you will need your pin to open the app. If your new Axxess will ask you to create a pin.

Step 3

Once you successfully login to the app you will see your schedule and list of clients you service. Next touch the visit you’re going to begin.

Step 4

In order to begin the EVV process you have to be within 50 feet of the client’s home address. Next touch “Start Task Verification”. This will begin the clock for EVV.

Step 5

Once you completed the time for the visit task touch “Collect Client Signature”. You will need to do this for each Task. Example, if you have 1-hour personal care you have to begin and end the task and collect the signature after the hour. Then you have 2-hours of Homemaking then after the two hours you will need to begin the process again and collect the client’s signature after the 2 hours are completed and so on if you have additional take for that day.

On the next screen touch “Get client Signature”

On the next screen allow the client to sign. The signature does not have to be perfect. After the client signs touch “Done”

Step 8

Once you receive the “Success” message you have completed the EVV process.

Step 9

(Optional at this time to do it on the app you will still need to turn in the existing paper note to complement the EVV)

Click on “Visit Note”

Step 10

Touch “Daily Living Task” and for each task click on “Yes” for each item and touch “Complete”. 

 

Note: If your visit does not have a visit note and you want to do the note on the app call the Agency so we can add the note to your client. 

 

If you want to continue to use paper you may do so until we provide additional training on how to complete the service note.

Step 11

On the next screen touch “Complete” again

Step 12

On the next screen sign your note. This is your signature, then touch “Done”

Step 13

Once again you will receive the “Success” message and then touch “Ok”.

Step 14

Lastly you will see a screen that show the summary that you have completed the task. “View Documents” will let you see the completed note. From here touch Schedule on the top screen and you can begin the next task.
